Board Update #112 [2005/05/16]

 
Hi Folks,
 
The Community Association Board of Directors met in workshop format on Thursday, May 12, 2005, and here is what was discussed:
 
1.  We reviewed the CAM procedures for implementing the Hurricane Shutter policy.  First of all, the policy is defined in the Design Guidelines since the issue is community aesthetics.  The Design Guidelines simply state that hurricane shutters may be put up 72 hours in advance of the arrival of a storm and must be removed within 72 hours after departure of the storm.  Bob Mahnke will describe the procedure for implementing this policy in his June Sunsations article.  Briefly, the Executive Director, using all available information, will have to determine when a storm is likely to affect the area and announce, using all available community communications channels, when shutters can go up.  Similarly, he will announce when the storm has departed and the residents have 72 hours to get the shutters downs.  Finally, he will exercise judgment regarding any storms that are "on the way" and will avoid requiring removal of shutters when it is likely that they will have to go up again soon.  See Bob's article for details.
 
2.  The update of the Room Rental and Catering Procedure Guidelines is under review and will be provided to the leadership of the Neighborhood Representatives Council and Interclub Council for comment.  It is our intent to act on this issue at the July board meeting.
 
3.  Implementation of the Pool Policy continues.  Signs at the outdoor pool entrances have been installed.  They include a measurement line for children's heights.  The Activity Card reader is installed at Hidden Cypress and installation at the other pools is scheduled.  The necessary software work to control the gates from these readers is being developed.  Indoor signs for the Fitness Centers are still needed.  The objective is to have everything up and running by July 4. 
 
4.  The Guest Policy proposal has been reviewed by the NRC.  Proposed fees for use of the tennis courts and the Fitness Centers by guests still need to be determined and reviewed by the NRC and ICC leadership.  It is our intent to act on this policy at the July board meeting.
 
5.  The proposed changes to the Community Rules are essentially complete and have been reviewed by the NRC and ICC leadership.  It is our intent to act on this proposal at the July board meeting.
 
6.  Lanyards which enable residents to carry their Activity Cards around their neck are available at the CAM office.
 
7.  The board will have a demonstration of a proposed "portal" (think web site) for the community this month.
 
8.  Performance of the food and beverage contractor was discussed.  Stay tuned.
